How to Use the Road Trip Cost Calculator

How to Calculate Road Trip Fuel Cost

US MPG

US Gallons = Miles ÷ MPGFuel Cost = US Gallons × Price per US Gallon

For example, an 800-mile trip in a vehicle averaging 28 US MPG uses about 28.57 US gallons. At $3.50 per gallon, estimated fuel cost is $100.

Imperial MPG

A UK Imperial gallon is larger than a US gallon, so 30 MPG (Imperial) is not the same fuel consumption as 30 MPG (US). SonoCalculator converts Imperial gallons correctly rather than treating the two MPG systems as interchangeable.

Litres per 100 kilometres

Litres Used = Kilometres × (L/100 km) ÷ 100Fuel Cost = Litres Used × Price per Litre

A 1,000 km trip at 7.5 L/100 km requires approximately 75 litres. Multiply that by the expected average price per litre.

Kilometres per litre

Litres Used = Kilometres ÷ km/L

This format is common in several markets and expresses efficiency in the opposite direction from L/100 km: higher km/L means better efficiency, while lower L/100 km means better efficiency.

Why Actual Road Trip Fuel Use Can Differ

A fuel-cost estimate is only as realistic as the efficiency assumption. Highway speed, stop-and-go traffic, hills, wind, temperature, tire pressure, roof boxes, trailers, passengers, cargo, air conditioning and driving behavior can all affect real consumption. A published vehicle rating is useful context, but your own observed trip or highway economy may be a better planning input when available.

Current road-trip calculators similarly caution that real fuel consumption and fuel prices can vary with route and conditions.

Electric Vehicle Road Trip Cost Calculator

EV road-trip cost is based on electrical energy rather than gallons or litres:

If an EV uses 30 kWh/100 miles over 600 miles, the driving-energy estimate is 180 kWh. At an average paid charging price of $0.35/kWh, the energy portion is $63.

Why use an average charging price?

A road trip can combine electricity from home, hotels, workplaces, destination chargers and public fast chargers, each with different pricing. A blended average price per kWh keeps the calculator universal and transparent. If you know the charging stops individually, calculate their expected costs separately for greater precision.

Charging losses and real-world efficiency

Vehicle efficiency displays and charger billing may not describe exactly the same energy boundary. Charging losses, battery temperature, preconditioning and charger overhead can affect energy purchased. For conservative planning, use a trip-level efficiency or charging-energy estimate that reflects your real experience when available.

How to Budget Hotels, Motels, Campsites and Other Lodging

Lodging Cost = Paid Nights × Rooms or Units per Night × Average Rate

The separate rooms field matters for families and groups. Four travelers might share one room, need two rooms, camp, stay with friends or use a mix of accommodation. A calculator that assumes one hotel room for every trip can therefore misstate group cost.

Use the expected amount you will actually pay, including known mandatory lodging charges when practical. Taxes, resort fees, parking and destination fees can make a quoted room rate lower than the final bill.

Road Trip Food Budget

Food Cost = Travelers × Trip Days × Daily Food Budget per Traveler

Food scales with both headcount and duration, unlike shared fuel and many tolls. A four-person group budgeting $40 per person per day for five days has a $800 food allowance.

Enter the incremental food budget you want included. If you prefer to exclude meals you would have purchased at home anyway, use only the additional amount you expect the road trip to create. If you want a full vacation cash budget, enter the entire expected daily food spend.

Tolls, Parking, Ferries and Road Charges

How to Split Road Trip Costs Between Travelers

The calculator's per-person result divides the complete entered trip cost equally by the number of travelers. That is useful for a family budget or a group that intends to split everything evenly.

Real groups may use a different arrangement. Food is already calculated per traveler, while fuel, tolls and many lodging costs are shared. One person may pay for the vehicle, another may not participate in lodging, or children may have different food costs. Treat the equal split as a planning view, not a rule for settling money between people.

Cost per Day and Cost per Mile or Kilometre

Two normalized figures can make trips easier to compare:

Cost per distance unit is a whole-trip budget ratio, not the vehicle's operating cost per mile. It includes lodging, food and other entered expenses, so it should not be confused with fuel cost per mile or a tax mileage rate.

Road Trip Cost vs Vehicle Operating Cost

Fuel-only cost understates the economic cost of using a vehicle because ownership and operation can also involve depreciation, maintenance, tires, insurance and registration. But those costs are not all incremental cash expenses created by one vacation, so SonoCalculator does not silently add them.

For U.S. tax purposes, the IRS optional business mileage rate is a separate concept designed for qualifying deductible or reimbursed vehicle use—not a vacation road-trip budget. In 2026 the business rate was initially 72.5¢/mile and was revised to 76¢/mile for July 1 through December 31, reflecting a midyear change. Do not substitute a tax mileage rate for actual road-trip fuel, hotel and food calculations.

Should You Include Maintenance and Depreciation?

It depends on the decision. For a cash-on-hand vacation budget, fuel, charging, lodging, food and route fees are usually more immediately useful. For an economic comparison between driving and another transportation mode, adding incremental maintenance, tire wear, mileage-related depreciation or rental charges can make the comparison more complete.

If you have a vehicle-cost estimate you trust, enter the trip-specific amount under Other Trip Costs. Do not blindly multiply by a generic mileage rate unless that rate actually represents the cost concept you want to compare.

Road Trip Cost Examples

Example 1: 800-mile fuel road trip

Suppose four people travel 800 miles over four days. The vehicle averages 28 US MPG, fuel averages $3.50/gallon, the group books one room for three nights at $120/night, and food is budgeted at $40 per traveler per day. Tolls are $30 and parking is $20.

Example 2: 1,000 km metric trip

A vehicle using 7.5 L/100 km over 1,000 km consumes about 75 litres. At €1.70/L, fuel costs about €127.50. Add accommodation, meals, road charges and other costs to get the complete trip budget.

Example 3: EV road trip

An EV traveling 600 miles at 30 kWh/100 miles uses an estimated 180 kWh. At an average charging price of $0.35/kWh, charging costs $63 before lodging, meals, tolls and other expenses.

One-Way vs Round-Trip Distance

The calculator expects total driving distance. If a map says the destination is 400 miles away and you will drive home on a similar route, enter about 800 miles before adding meaningful local driving or detours. Do not enter 400 and expect the calculator to double it automatically.

How Much Extra Distance Should You Budget?

Navigation distance may not include scenic detours, restaurant stops, hotel access, local sightseeing or route changes. If those miles are predictable, include them directly in total distance. This is clearer than automatically adding an arbitrary percentage to every trip.

Budget Buffer: What It Does and Does Not Mean

The optional buffer adds a user-selected percentage to the entire entered subtotal. It can represent price uncertainty or unplanned spending, but it is not a prediction that costs will definitely increase by that amount.

If you already entered conservative prices or explicit contingency amounts, adding another buffer may double-count uncertainty. Leave it blank when you do not need one.

Is Driving Cheaper Than Flying?

A road-trip calculator can supply the driving side of the comparison, but a fair drive-versus-fly decision should compare equivalent costs. Driving can include fuel or charging, tolls, parking, en-route hotels and vehicle costs; flying can include airfare, baggage, airport transport, parking, rental cars and destination transportation.

Group size matters because many driving costs are shared while airfare usually increases with each passenger. Time also matters: a long drive may require additional hotel nights or vacation time. Current road-trip calculators often emphasize total trip cost rather than fuel alone for exactly this reason.

Road Trip Cost for a Rental Car

If the vehicle is rented, fuel or charging remains part of the trip, but the rental itself is another major cost. Add the rental's trip-specific total under Other Trip Costs, including known taxes, one-way charges or options if they are not already included. Do not add insurance or coverage you do not actually intend to purchase.

International Road Trips

Cross-border road trips can involve currencies, fuel sold in litres, road vignettes, toll systems, low-emission charges, ferries and rental restrictions. SonoCalculator does not hard-code country rules because they change and differ by vehicle. Enter costs in one consistent currency after converting any foreign-currency estimates using a rate you choose.

Motorcycles, Campervans and RVs

The core fuel formulas also work for motorcycles, campervans and RVs if you enter the appropriate real-world efficiency. However, accommodation, campground, parking, toll and ferry charges can differ by vehicle class. Large RVs may also experience substantially different fuel economy under load.

Road Trip Budget for Camping

If you camp instead of booking hotels, use Paid Lodging Nights, Rooms/Units and Lodging Rate to represent campsite units and nightly campsite fees, or put complex campground charges under Other Costs. The formula does not require the lodging to be a hotel.

Road Trip Budget for Remote Workers

Longer driving trips can mix travel and temporary remote work. Add accommodation and food only for the period you want included. If coworking, mobile data or work-related parking is part of the trip budget, add it under Other Costs. Keep business accounting separate from personal trip planning when tax treatment matters.
